Acquisition of event organization services related to the "Invest EU in Northern Transylvania Conference" event

The Northwest Regional Development Agency, as the Contracting Authority, invites you to participate in the public procurement of Sevents organization services related to the "Invest EU in Northern Transylvania Conference" from May 30-31, 2017.

Estimated number of participants: 200 people

Source of funding: EU INVEST 2017

Event organization services will be provided in Cluj-Napoca, for an estimated number of 200 people.

For the event "Conference Invest EU in Northern Transylvania" from May 30-31, 2017, the provider will provide the following categories of services

  1. Conference room rental services
  • A conference room (which is not located in the basement or semi-basement) with a minimum capacity of 200 participants is requested;
  • Theater type arrangement
  • Equipment: sound system, laptop with video projector and projection screen, presidium, presidium microphones, two mobiles, a table for recording at the entrance to the hall;
  1. Simultaneous translation Romanian-English, English-Romanian, with translators' cabin, translation headsets for all participants (if expressly requested by the contractor, depending on the presence of guests from abroad). We mention that the rental of simultaneous translation services will be firmly confirmed 7 days before the event.
  2. Catering services
  3. Welcoming Coffee break composed of:
  • Still/mineral water at 0.33 litres
  • Coffee (including condensed milk, etc.)
  • fruits
  1. Lunch composed of:
  • 1 kind of salad,
  • main course (two types of meat and two types of side dishes),
  • desert,
  • juices,
  • coffee, milk for coffee,
  • mineral water and flat water.

o The vegetarian version will be provided (the number of people will be communicated one day before)

  1. Who works

two working dinners (on May 30 and 31, 2017, estimated number of 10 people/dinner)

  • 2 types of salad,
  • main course (two types of meat and two types of side dishes, of your choice),
  • desert,
  • coffee, milk for coffee,
  • mineral water and flat water.
  • The vegetarian option will be provided (the number of people will be communicated one day before)
  1. Accommodation services

Accommodation services for an estimated number of 5 people (the final number will be announced one day in advance)

  • 2 nights in single mode (May 30 and May 31, 2017)
  • with breakfast included
  • minimum 3 star hotel
  • the location will be in the same hotel as the event location

We mention the fact that the final number of participants will be communicated to the provider, one day before the event, namely on 29.05.2017.

Estimated value of the purchase is 16,600.00 lei without VAT.

The offers will be presented in lei with and without VAT, and will contain the costs grouped as follows:

  • Cost of conference room and projection and sound equipment
  • Cost of simultaneous translation services and equipment specific to this service;
  • Cost of catering/participant, separate for each of points 1, 2 and 3;
  • Cost of accommodation services
  • Total event cost
