Launch of the public procurement procedure for catering services for 3 events

The Northwest Regional Development Agency, as the Contracting Authority, invites you to participate in the public procurement for catering services for 3 events (on February 6, 7 and 9, 2017) and event organization services on February 21, 2017

The dates and locations will be as follows:

1 06. feb the agri-food field Agency headquarters, Calea Dorobantilor 3
2 07. feb health field Agency headquarters, Calea Dorobantilor 3
3 09. feb the fields of metal processing, production technologies Agency headquarters, Calea Dorobantilor 3
4 21. feb ITC field Cluj Napoca, Hotel in the central area, easily accessible, minimum 3 stars.

 

Events 1, 2 and 3 – focus groups from February 6, 7 and 9, 2017

location: Cluj Napoca, Calea Dorobantilor 3

Event date:  6, 7, 9 February 2017;

Duration of the event: 5 hours, starting in the first part of the day (from 9.00 a.m.);

participant: maximum 120 people in total at the 3 events (on average 40 people per event).

Not Mthe final number of participants may vary from one event to another. The final number of participants will be announced one day before each event.

Catering services:

  1. welcome coffee with coffee, milk for coffee, sugar, water, tea and sweet and salty pastries
  2. coffee break: coffee, milk for coffee, sugar, water, tea and sandwiches/bruschetta and fruit

Napkins, glasses, cups, mugs (or plastic/paper cups), plates, cutlery, etc. will also be provided.

Estimated value for all 3 events is 4,800 lei + VAT, calculated for a maximum number of 120 people on the three events.

The financial offer is drawn up in lei with and without VAT and will contain the costs grouped as such:

  • Cost of catering/participant/event;
  • Total cost for all 3 events;

Event 4 : Focus group on ITC-in February 21, 2017

location: the bidder will propose a Hotel in Cluj Napoca, central area, easily accessible, minimum 3 stars.

Event date:  February 21, 2017;

Duration of the event: 8 hours, starting in the first part of the day;

participant: maximum 100 people;

Not Mthe final number of participants will be announced one day before the event.

CPV code: 55120000-7 Meeting and conference services organized at the hotel

  1. Conference room rental services
  • A conference room (which is not located in the basement or semi-basement) with a minimum capacity of 100 participants is requested;
  • Theater-type arrangement for plenary sessions and 2 U-shapes for approx. 35-40 people for 2 work groups;
  • Equipment: sound system, laptop with video projector and projection screen, presidium, 6 microphones, of which two are mobile (for the theater-type arrangement), respectively video projectors connected to the laptop and projection screens, flipchart (for the 2 U-shapes) and a table for registration at the entrance to the hall;

Mention: it is accepted to have a total of 2 video projectors and 2 laptops, of which a laptop connected to the video projector must be moved between the presidium and one of the U-shapes.

  • simultaneous translation Romanian-English, English-Romanian, with translator booth, translation headphones for all participants (if expressly requested by the contractor, depending on the presence of guests from abroad). We mention that the rental of simultaneous translation services will be firmly confirmed 7 days before the event.

  • 2 types of salad,
  • main course (two types of meat and two types of side dishes),

  • juices,
  • coffee, milk for coffee,
  • mineral water and flat water.
  • The fasting option (vegetarian) will be provided.

Estimated value: 10,000 lei + VAT for the event on February 21, 2017, calculated for a maximum of 100 participants.

The financial offer is drawn up in lei with and without VAT and will contain the costs grouped as such:

  • Cost of conference room and projection and sound equipment
  • Cost of simultaneous translation services and equipment specific to this service;
  • Cost of catering/participant/event;
  • Total event cost

The offers will be drawn up separately, respectively an offer for the 3 events of February 6, 7 and 9 and an offer for the event of February 21, 2017. The language of the offer is Romanian.

The criterion used for awarding the contract is The lowest price.
